Your patients get an answer, even when the front desk is busy

Aria is a booking assistant for dental clinics. It replies to patients on WhatsApp, offers only times that are really free, and books them into your clinic's calendar. It never gives medical advice.

Where we are today: Aria works on WhatsApp, and we can show you a full demo. To run it on a clinic's own number, Meta (the company behind WhatsApp) first has to verify the business. We help with each step.

The problem

Missed calls

When the front desk is with a patient or on another call, the phone keeps ringing. Some of those callers don't call back.

Late replies

Patients message after hours and on Sundays, and often wait until the next morning for an answer.

Empty chairs

Patients forget appointments, and an empty chair is a slot the clinic could have filled.

What Aria does

  • Answers patients' booking messages at any hour, on WhatsApp.
  • Offers only times that are really free in your clinic's Google Calendar, within your opening hours, and books the one the patient picks.
  • Answers simple questions about your services and "starting from" prices, using your own price list.
  • Reminds patients the day before their appointment. (being added)
  • Shows your bookings and enquiries on a password-protected clinic page, with phone numbers partly hidden. (demo ready, being connected)
  • Is set up to reply in English, Hindi, Hinglish and Punjabi (typed in English letters).

What Aria will not do

  • Give medical advice, say what a symptom means, or suggest medicines. It tells the patient the doctor will examine and advise.
  • Handle emergencies. It tells the patient to call 112 or the clinic straight away.
  • Ask for medical history, ID numbers, addresses or payment details.
  • Promise a particular doctor, a discount or a final price.
  • Cancel or move appointments by itself. It passes those to your team.
  • Pretend to be a person. If asked, it says it is the clinic's virtual assistant.

How it works

  1. The patient chats

A patient messages your clinic on WhatsApp, at any hour, in their own words.

  2. Aria books

Aria checks your calendar, offers only free times, and books the time the patient picks.

  3. Your clinic sees it

The booking appears in your calendar and on your clinic page, so your team knows who is coming.
